A COMPLETE GUIDE FROM A LUXURY WEDDING PLANNER.

If you are newly engaged, you may be wondering what a wedding planner actually does and whether you need one.

The role is often misunderstood. Many couples assume a planner simply recommends suppliers or manages the timeline on the wedding day. In reality, a professional wedding planner is responsible for the strategic, creative and logistical orchestration of your entire celebration.

As the Founder and Lead Planner of Sarah Louise Wedding Planner, I create aesthetic weddings where detail and personality matter. My role is not just to plan. It is to lead, protect, refine and quietly control every moving part so that you can be fully present.

Planning a wedding can involve hundreds of hours of decision making, coordination and detailed administration. My work removes that pressure entirely.

WHY DO YOU NEED A WEDDING PLANNER?

A wedding planner is your advocate, creative partner and operational lead.

Unlike a venue coordinator, who works for the venue, a wedding planner works exclusively for you.

My couples often describe me as “the calm in the chaos” and “quietly in control”. With almost a decade as Head of Legal prior to launching my business, I bring structured thinking, problem solving and military level organisation to every wedding I plan. That background allows me to manage high pressure environments with clarity and composure.

Alongside me is Dean, who oversees operations and logistics on site. Together, we deliver one unwavering standard across two roles.

WHAT DOES A FULL SERVICE WEDDING PLANNER DO?

Full Wedding Planning and Design is my most comprehensive service. It is designed for couples who value elevated design, seamless logistics and a wedding experience that feels considered from start to finish.

VISION AND DESIGN DEVELOPMENT

From the outset, I work closely with you to shape and refine your vision. This includes:

  • Curated mood boards

  • Styling guidance

  • Cohesive design alignment across suppliers

  • Ensuring every aesthetic decision feels intentional

You value real flowers, elevated tablescapes and thoughtful detail. My role is to bring that vision to life in a way that feels unmistakably you.

VENUE VISITS AND LAYOUT PLANNING

I conduct two dedicated venue visits to walk through layouts, logistics and final styling plans. This ensures:

  • Guest flow is considered

  • Ceremony and reception transitions feel seamless

  • Styling is mapped precisely

Nothing is left to chance.

SUPPLIER CURATION AND MANAGEMENT

I personally recommend and manage all key supplier categories. Every supplier is carefully selected, fully briefed and managed throughout the planning process. You are not left chasing contracts, timelines or updates. I oversee communication so the experience feels calm and controlled.

BUDGET OVERSIGHT AND STRUCTURE

With my legal and corporate background, budget clarity is non negotiable. You will have transparent structure, clear instalment schedules and ongoing oversight. The goal is confidence, not confusion.

PRE-WEDDING, WEDDING DAY AND POST-WEDDING SUPPORT

From midday the day before your wedding, I am available for set ups, rehearsals and final run throughs.

On the wedding day, I arrive at least three hours before your ceremony to oversee supplier set up, coordinate logistics and support you and your guests. At the end of the evening, I assist with pack down, ensuring everything is handled safely and discreetly.

You simply leave as newlyweds.

WHAT IS WEDDING MANAGEMENT?

Wedding Management is designed for couples who have secured most suppliers but want professional structure in the final weeks.

Around six to eight weeks before your wedding, we meet to review every detail. From there, I liaise with your suppliers, align logistics, create a bespoke wedding day timeline, and establish a dedicated WhatsApp group with your chosen point people.

This service is strongly encouraged over Coordination for marquee weddings due to the vast logistics and compliance involved.

WHAT DOES WEDDING DAY COORDINATION INCLUDE?

Wedding Day Coordination is centred entirely around you.

Four weeks before your wedding, we conduct a comprehensive handover meeting. I review your documentation in depth, fine tune the timeline and manage the day meticulously so you are never clock watching.

On the day, you have me for up to 12 hours. I oversee set up, liaise with your venue and suppliers, manage background logistics and discreetly problem solve.

I will hold your bouquet when it gets heavy. I will ensure you always have a drink. I will support guests, particularly little ones and elderly family members, and I will create calm pockets of time for you and your partner to pause and take it all in.

My aim is to handle anything unexpected without you having any idea.

WEDDING PLANNER VS VENUE COORDINATOR

A venue coordinator manages the venue’s operations. They oversee venue staff and venue logistics.

A wedding planner oversees your whole wedding. That includes external suppliers, design cohesion, guest experience and the day as a complete production, not just a venue service.

They are not interchangeable roles.

FINAL THOUGHTS...

A wedding planner is not a luxury add on. For many couples, especially those planning design led, multi venue or marquee weddings, it is the difference between feeling overwhelmed and feeling completely supported.

If you value structure, calm leadership, aesthetic cohesion and military level planning delivered with warmth and personality, I would love to hear from you.
